Purpose of the Position
This is a position within the Sanitation and Water for All Secretariat, which is hosted by UNICEF in the WASH Section, with assigned responsibility for components of the Secretariat's role in preparing and hosting meetings, managing high-level protocol issues and documenting the work of the Partnership.
Key Expected Results
1. Management of events and meetings Coordinate the implementation of events (meetings, workshops etc), to assure that logistics and contents, as defined by the Secretariat Coordinator, are delivered according to objectives and plans agreed by the SWA Steering Committee. This involves:
a) Managing events on-site to ensure the smooth running of meetings (registration, seating, facilities, etc.).
b) Oversee on-site support to dignitaries and especially the SWA Chair at SWA events.
c) Liaising with the SWA administrative assistant, the Programme Support Unit and the Protocol Unit
d) Liaising with suppliers, travel agents, conference services providers and facilitators to ensure satisfactory services are identified and delivered.
e) Liaising with SWA Partners and meeting attendees to ensure they have the information that they need to actively contribute in meetings and that their expectations are taken into consideration, while positively representing the SWA Secretariat to a wide set of partners.
f) Liaising with SWA Senior Advisors and Secretariat team members who will provide inputs to the key contents of the meeting and to the preparatory processes End Results:
1. SWA meetings and events are planned and implemented according to the Steering Committee's expectations
2. Partners and meeting attendees successfully contribute to decision-making and advocacy.
2. High Level Protocol
a) Research and document official protocols, to ensure up-to-date knowledge of protocols with heads of state and high-level representatives such as Secretary General, government Ministers and other dignitaries.
b) Apply protocol knowledge to facilitate appropriate Secretariat support to the high-level Chair of SWA.
c) Apply knowledge to facilitate appropriate meeting planning and arrangements such that all necessary UN and general political protocols are followed for various dignitaries and politicians.
End Results:
1. The SWA Secretariat has the knowledge and expertise required to support the high-level SWA Chair professionally and adequately.
2. All dignitaries involved in high-level SWA events are appropriately attended to.
3. Events and meetings documentation
a) Support the development of briefing materials for meeting participants
b) Support the production, editing and dissemination of meetings minutes
c) Support the documentation of outcomes of SWA meetings, by compiling inputs from various stakeholders appropriate to each event.
d) Manages event registration and participant lists e) Support the documentation of lessons learnt, by compiling inputs from the appropriate stakeholders. End
Results:
1. High quality briefings, outcome documents and meeting summaries are available
2. Documented lessons learned are available to SWA Partners
4. Other responsibilities a. Contribute to ensuring the Secretariat tasks, as defined in the SWA Secretariat TOR, are met, especially in cases where the workload peaks. (It is anticipated that the Secretariat's workflow will ebb and flow around events and Partnership milestones (launching of new initiatives, Joint Missions and meeting requiring additional Secretariat support, etc)
End Result: 1. The SWA Secretariat responds satisfactorily to the Steering Committee's changing needs.
Qualifications of Successful Candidate
An advanced university degree in social sciences or event management or a related field is required. Two years of solid professional work experience, including event management, conference researching and producing, and protocol management are required. Familiarity with global partnerships is desirable. Previous work with dignitaries and/or governments of developing countries and donors would be an asset. Strong analytical, planning and organizational skills are essential, as well as good negotiation and networking skills. The candidate will be a good team player and will be capable of juggling among deadlines Fluency in English and excellent reporting skills are expected. Fluency in French or another UN language would be desirable.
