The Rail Solutions division with Atkins undertakes engineering design for the UK Rail Market with Glasgow Solutions business comprising technical teams of Civils and Permanent WayEngineers supported by Engineering and Project Managers.
We are currently recruiting for a Senior Administrator to become a key member of the team.The post will have a requirement to integrate and work with the team of engineers and managers in the Glasgow office ranging from Apprentices to Associate Director levels.
Responsibilities
- Report directly to the Group Manager
- Support the Rail Solutions Business with all administration duties on a daily basis.
- Arrange training courses required by site staff to ensure safe working
- Support managers to manage and collate timesheets ensuring staff are allocated to the correct jobs for costing purposes.and timesheets are submitted weekly
- Book travel and accommodation
- Procure office related goods and PPE using corporate purchasing systems
- Arrange staff and client events
- Check invoices and forward to the appropriate approver
- Manage document and file control for selected projects including up and downloading documents and files from collaborative systems.
- Integrate with and support a team of Design & Construction Engineers who undertake electrical design work within a Rail environment
- Prepare document templates and collate and finalise reports drafted by others using Microsoft Office software
Requirements
- Sufficient and appropriate experience of providing secretarial and administrative support in an office environment within the construction or railway industries
- Understanding support requirements of the Management team and ability to proactively assist them with undertaking theirduties efficiently
- Ability to develop understanding the Atkins business support and office management systems with the ability to proactively maintain or where necessary improve use and compliance
- IT literate including strong working knowledge of Microsoft Office and ability to learn and use multiple in house management systems
- Ability to act professionally with discretion and in confidence
- Excellent verbal and written communication skills
- Confident in dealing with clients, junior & senior staff
- Ability to work without supervision with a proactive and flexible working attitude
- Excellent organisational skills & demonstrable evidence of working to deadlines
- Good typing ability, excellent accuracy and attention to detail
